Privacy policy
A plain-language summary of what we collect, why, and how we look after it.
Who we are
Calgary Mailbox LTD., 918 16 Ave NW, Calgary, AB T2M 0K3. Privacy questions: cmb@calgarymailbox.ca.
What we collect
- Your name, email, phone number and mailing or forwarding addresses.
- Your mailbox, plan, billing and payment records.
- A note that your government-issued photo ID was checked: the date, and whether it was checked online or in person. We check ID before any mailbox is opened, and we do not keep the ID itself.
- One small photo of your face (the selfie you take during the online ID check, or a photo taken at our counter), kept on your profile so our staff can recognize you.
- Sign-in details, so we can keep your account secure.
- Basic technical information our hosting provider records when you visit this website, such as your IP address.
Why we collect it
- To open and run your mailbox, and to receive, hold and forward your mail and parcels.
- To check your identity, which helps prevent mail and identity fraud.
- To bill you and send notices, invoices and statements.
- To meet legal requirements.
Your ID
We check valid government-issued photo ID before opening a mailbox. ID from any province or country is accepted. You can do the check online, or in person at our counter.
Online, a secure ID-check service called Didit looks at your ID and a quick selfie for us and tells us whether it passed. The selfie lets the service confirm that a real person is taking the check. Didit keeps its checks in the European Union (Ireland), so your ID details and selfie are handled outside Canada. As soon as the check is done, we have Didit delete your ID details and your selfie. In person, our staff look at your original ID. We do not keep your ID itself, and we do not scan or photocopy it. Either way, we keep a short note that your ID was checked, with the date and how, and one small photo of your face on your profile: the selfie you took during the online check, or a photo taken at our counter. Only Calgary Mailbox staff can see the photo, and we use it only so our staff can recognize you when you pick up. We do not use it for face matching or any other automated recognition.
When your account closes
When your term ends, or the account is closed for unpaid amounts, we delete your profile photo and any copy of your ID that we may still hold (for example, from before we started checking ID this way), and we close out your mailbox so it can be rented again. We keep your name, contact details and billing records on the closed account for our accounting, tax and legal records, for as long as we reasonably need them. After that, we hold no copy of your ID and no photo of you.
Security check when you sign up
When you ask for a sign-up code, our website runs a free security check from Cloudflare (called Turnstile) to tell people from automated programs. To do this, Cloudflare receives your IP address and some details about your browser. We do not receive anything else from it, and it is not used for advertising.
Payments
Card payments are taken on a secure Clover payment page. We do not keep card numbers on this website.
Who we share it with
We do not sell your information. Client information is kept confidential and is not disclosed except when legally required, or as reasonably necessary to provide the service. In practice that means service providers who help us run it (such as payment processing, ID checking, website hosting and secure document shredding), and carriers when you ask us to ship or forward something.
How we protect it
This website uses HTTPS, accounts use two-step sign-in, and access is limited to people who need it. No system is perfectly secure, so please keep your sign-in details private and tell us right away if you think someone else has access to your account.
Your choices
You can ask to see or correct the personal information we hold about you by emailing cmb@calgarymailbox.ca. If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner of Alberta.
Cookies
This website does not use advertising or tracking cookies. While you are signing up, your browser keeps your progress (your name, e-mail, phone and the plan you picked, never your signature or your ID) in that one browser tab so you do not lose your place if the page reloads. It is not a cookie, it is not shared with anyone, and it is erased when you finish or close the tab.
Changes
If we change this policy we will update this page.
