Terms & Conditions
This is the rental agreement you sign when you open a mailbox with us. It is here so you can read it first.
1. Mailbox Rental Agreement
This agreement is between Calgary Mailbox LTD. ("the Company") and the undersigned client ("the Client") for the rental of a mailbox or virtual mailing address at 918 16 Ave NW, Calgary, AB T2M 0K3.
2. Term & Renewal
All rents are payable in advance. If, at the expiry date of any term, the Client fails to give notice of cancellation, Calgary Mailbox will consider the agreement renewed for a like term. A minimum of 30 days' notice is required within the rental period to cancel. If 30 days' notice is not given prior to renewal, all fees for the new term are non-refundable.
Billing cycle: recurring billing is aligned to one of two dates each month — the 1st or the 15th. Clients who sign up between the 1st and the 15th of a month will be billed on the 1st of the following month; clients who sign up between the 16th and the end of a month will be billed on the 15th of the following month.
3. Fees & Charges
All fees are paid in advance, non-refundable, and do not include applicable taxes (GST, etc). A one-time, non-refundable setup fee of $9.95 applies at the time a new mailbox rental agreement is signed. A mailbox is in arrears when any amount is owing, and delinquent after 30 days of non-payment. Late payment penalties: $5.00 after 30–60 days; $10.00 after 60–90 days; $15.00 after 90 days. NSF cheques: $35.00 charge. If a mailbox falls into arrears, any key deposit on file is forfeited and applied to the arrears, and is no longer refundable.
4. Mail Handling, Holds & Delinquent Accounts
Mail may be returned to sender when the account is not current. Mail is placed on hold after 30 days of non-payment, and the mailbox may be closed after 30 days of non-payment. Once a delinquent account and late fees are paid in full, the mailbox is reopened for a one-year term only. Forwarding, if requested, is subject to Calgary Mailbox's current forwarding fee schedule at the time of the request.
5. Identity Verification & Prohibited Use
The Client must provide valid, current government-issued photo identification prior to activation of any mailbox, and must promptly notify Calgary Mailbox of any change of name, address, or contact information on file. Identity verification is required to help prevent mail and identity fraud and to comply with applicable law.
The mailbox may not be used to receive mail or packages containing illegal substances, weapons or ammunition where prohibited by law, hazardous or flammable materials, counterfeit goods, or any item whose possession or shipment violates federal, provincial, or municipal law. Calgary Mailbox reserves the right to refuse, return, or report any such item without liability to the Client.
6. Limitation of Liability
Calgary Mailbox exercises reasonable care in receiving, holding, and forwarding mail and packages, but is not an insurer of their contents. Except in cases of gross negligence or willful misconduct by Calgary Mailbox, the Company's total liability for any lost, delayed, misdirected, or damaged mail or package is limited to the actual cost of the item and applicable shipping/handling fees paid, and Calgary Mailbox is not liable for indirect, incidental, or consequential damages of any kind.
7. Termination & Company Rights
Calgary Mailbox reserves the right to terminate this agreement at any time for violation of these terms, and reserves the right to close a mailbox and cancel service at any time for any reason deemed necessary.
8. Acceptable Use, Confidentiality & Indemnification
The Client affirms all business conducted will be lawful. In the event of any violation, the Client agrees to indemnify, save harmless, and hold blameless Calgary Mailbox and its officials/employees.
Client information is confidential and handled in accordance with applicable Canadian privacy law (including PIPEDA), and will not be disclosed except when legally compelled or required, or as reasonably necessary to provide the services under this agreement.
9. Electronic Signature, Notices & Governing Law
The Client consents to receive notices, invoices, statements, and other communications from Calgary Mailbox electronically (by email), and agrees that an electronic or typed signature has the same legal effect as a handwritten signature. This agreement is governed by the laws of the Province of Alberta and the federal laws of Canada applicable therein, and constitutes the entire agreement between the parties regarding the rental of the mailbox or virtual address.
10. Mail & Package Holding
Letters and other mail are held for the Client while the rental is active, up to the space reasonably available for that Client. If that space is full, Calgary Mailbox will contact the Client to forward or collect it.
A fee of $2.00 per package (plus applicable taxes) applies for receiving, holding and notifying the Client. Packages are held for 7 days at no charge. After 7 days, a storage charge of $0.70 per day (plus applicable taxes) applies until the package is collected or forwarded.
When a rental ends or a mailbox is closed, mail and packages are held for 30 days. After that, they may be returned to the sender.
11. Third-Party Listings & Registrations
The Client is responsible for following the rules of any government body, bank, registry, online platform (including Google) or other third party where the Client uses the Calgary Mailbox address. These parties decide for themselves whether to accept or keep an address, and may review or change their decision at any time.
Calgary Mailbox does not guarantee that any listing, registration or account will be approved or stay approved. If one is suspended or refused, Calgary Mailbox will do what it reasonably can to help the Client resolve it, for example by confirming the Client's rental and signage on request.
12. Identification & Your Profile
Before a mailbox is opened, Calgary Mailbox must check the Client's valid government-issued photo identification. The check is done either online, through a secure ID-check service chosen by Calgary Mailbox, or in person at Calgary Mailbox's counter. ID from any province or country is accepted.
Calgary Mailbox does not keep a copy of the Client's ID itself. It keeps a short note that the ID was checked, with the date and whether the check was online or in person, and one small photo of the Client's face (the selfie taken during the online ID check, or a photo taken at the counter) on the Client's profile so its staff can recognize the Client when mail or packages are collected. Only Calgary Mailbox staff can see the photo, and it is not used for any other purpose. If the check is done online, the ID-check service receives the ID details and the selfie the Client provides, uses the selfie to confirm that a real person is taking the check, handles them under its own privacy terms, and tells Calgary Mailbox the result. Calgary Mailbox has the service delete the ID details and the selfie as soon as the check is finished. By signing this agreement, the Client agrees to the ID check, to the selfie, and to the photo being kept in this way.
When the Client's account closes, whether the term ends or the account is closed for unpaid amounts, Calgary Mailbox deletes the Client's profile photo and any copy of the Client's ID that it may still hold, and closes out the mailbox so it can be rented again. Calgary Mailbox keeps the Client's name, contact details and billing records on the closed account for its accounting, tax and legal records, for as long as it reasonably needs them. Questions about personal information can be sent to cmb@calgarymailbox.ca.
